Purchasing Assistant

About the Role:

As a Purchasing Assistant based in Montreal’s West Island, you will be a vital part of our fast-paced supply chain operations, providing essential support to the Purchasing Director. You will be responsible for monitoring inventory levels, identifying purchasing needs, coordinating with vendors, and maintaining accurate records of transactions. This role requires a strong understanding of supply chain management, proficiency in purchasing software and Excel, and the ability to thrive in a dynamic and fast-paced environment.

Responsibilities:

  • Inventory Management: Closely monitor stock levels, identifying potential shortages and proactively addressing purchasing needs.
  • Order Processing: Prepare and process purchase orders, ensuring accuracy and completeness of information. Update databases with order details, delivery schedules, and other relevant information.
  • Vendor Management: Build and maintain strong relationships with vendors, negotiating prices, delivery terms, and resolving any issues that may arise. Follow up on orders to ensure timely delivery and address any discrepancies.
  • Cost Analysis: Prepare cost analyses for various purchasing options, evaluating vendor proposals and recommending the most cost-effective solutions.
  • Record Keeping: Maintain accurate records of all purchasing transactions, including invoices, receipts, and contracts. Ensure compliance with company policies and procedures.
  • Logistics Coordination: Liaise with warehouses and logistics providers to ensure efficient receiving, storage, and distribution of goods.
  • Reporting: Generate regular reports on inventory levels, purchasing activity, and cost analysis findings.

Required Skills and Qualifications:

  • Proven experience in a purchasing or supply chain role, preferably within a manufacturing or distribution environment.
  • Strong understanding of supply chain management principles and best practices.
  • Proficiency in using purchasing software and ERP systems (knowledge of ACCPAC is an asset).
  • Advanced knowledge of Microsoft Excel for data analysis, reporting, and inventory management.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
